Chat with your AI team: COO, Sales Director, CMO, and Strategy Coach

KM Hub gives you a team of AI officers you can chat with about your own business data. Ask a question like "which invoices are overdue" and the assistant searches your actual clients, bookings, and invoices, then answers with real numbers - no copying data into a chatbot, no guesswork.

Meet your AI officers

The AI Chat page has an officer picker at the top. Each officer looks at your business from a different angle:

  • Second-in-Command (COO): your day-to-day operations partner and the default officer. Great for questions about bookings, invoices, and what needs attention.
  • Sales Director (CRO): focused on your pipeline, deals, and revenue.
  • CMO: focused on marketing questions.
  • Strategy Coach: for bigger-picture thinking about where the business is going.

Some pages in KM Hub preselect the right officer for you - for example, an "Ask the Sales Director" button opens the chat with the Sales Director already chosen.

Start a conversation

  1. Open AI Team in the sidebar and pick an officer, or go straight to https://hub.kivimedia.co/?page=ai-chat.
  2. Choose an officer from the picker: Second-in-Command, Sales Director, CMO, or Strategy Coach.
  3. Type your question in the message box and press Enter to send. Use Shift+Enter if you want a new line inside your message.
  4. Watch the answer stream in. Responses appear as they are written, so you can start reading right away.

Your conversation persists for the session, so it survives a tab refresh. When you want a clean slate, click New conversation at the top of the page.

See exactly what it did

When the assistant looks something up, a tool-use trace row appears in the conversation showing which tool ran and with what inputs. That means you always know where an answer came from - if it says three invoices are overdue, you can see it ran an invoice search to find them.

What the assistant can do

Behind the scenes, the officers can run a set of tools against your workspace:

  • Search your records: clients, bookings, invoices, quotes, inquiries, and emails (search_clients, search_bookings, search_invoices, search_quotes, search_inquiries, search_emails).
  • Create records: log a new inquiry or booking straight from the chat (create_inquiry, create_booking).
  • Remember things: save a standing fact about your business (save_standing_fact).
  • Propose actions: draft an action for your review (propose_action).
  • Run the numbers: quota planning and attainment, customer acquisition cost, deal attribution, and payroll summaries (plan_quota, coo_quota_attainment, coo_cac, coo_deal_attribution, coo_payroll_summary).

Teach it to remember

If you tell an officer something worth keeping - "remember that we don't book Sundays" or "remember that our minimum package is two hours" - just ask it to remember. The assistant saves it as a standing fact in your Business Brain, and every future conversation takes it into account.

You can review these saved facts on the COO Memory page, add new ones there directly, or delete any fact to make the AI forget it.

  • Which bookings next month are still unpaid?
  • How much have I invoiced clients this quarter?
  • What did this client request for last week's event?
