Record a payment on a booking (cash, check, card, or bank transfer)

When a client hands you cash at a gig, mails a check, or wires the balance, you can log it against the booking in seconds. Recording payments keeps the event's Financials tab accurate, so Amount Paid and Balance Due always reflect reality.

Three ways to get there

  1. From the Event Detail page - open the booking and click Record Payment. The payment slide-over opens on the right.
  2. From the Events list - open the row menu on any event and choose Record Payment. KM Hub opens the Event Detail page with the payment panel already open for you.
  3. From anywhere in the app - tap the floating + button (the quick-create FAB) and choose Payment.

Filling in the payment

The Record Payment slide-over asks for five things:

  1. Amount - how much the client paid.
  2. Method - pick from Cash, Check, Credit Card, or Bank Transfer.
  3. Date - when the payment was received. This can be a past date, so it's fine to catch up on payments after the weekend.
  4. Reference / check # - the check number, transaction reference, or any identifier you'll want later. Especially useful for checks and bank transfers, where a paper trail matters.
  5. Notes - anything worth remembering about this payment, like "paid deposit in cash at the tasting".

Save, and the payment is logged against the booking.

Checking the result

Open the booking's Financials tab to confirm the numbers: it shows Total Cost, Deposit, Amount Paid, and Balance Due for the event, so you can see at a glance how much is still outstanding after the payment you just recorded.

Tips

  • Record payments as soon as you receive them - the Balance Due figure on the Financials tab is only as accurate as what you've logged.
  • Use the reference field consistently for checks. When a client asks "did you get my check?" months later, you'll have the number on file.
  • If you still need to bill the client first, the Financials tab also has a Create Invoice button - invoice first, then record payments as they come in.
