Rentals: offerings, bookable units, reservations, and deposits

The Rentals page turns your spare gear into a bookable product. You define what you rent out, list the physical units behind each offering, and reserve them against dates - with built-in conflict detection so the same unit is never promised to two customers at once.

Where to find it

Open the Operations area and choose Rentals, or go directly to https://hub.kivimedia.co/?page=rentals.

If you don't see this page, it isn't enabled for your account yet - contact support to turn it on.

Note that Rentals is an agency tool. If your brand is in Solo Mode in Settings, agency tools like Rentals and Equipment are hidden until you switch back. No data is lost while they're hidden.

How rentals are structured

Rentals uses two layers, and keeping them straight makes everything else simple:

  • Offerings - the rental products you advertise. An offering is the thing a customer asks for.
  • Bookable units - the actual physical pieces of gear behind each offering. If you own three of something, that offering has three units, and each one can be reserved independently.

Set up your offerings and units

  1. On the Rentals page, manage your rental offerings: create one for each product you rent out.
  2. For each offering, manage its bookable units and add the gear that backs it.

Once units exist, they become the things you reserve. The number of units on an offering is your real-world capacity for those dates.

Reserve a unit

  1. Pick the unit you want to book out and open the Reserve unit dialog.
  2. Choose the rental dates.
  3. Optionally enter a deposit amount.
  4. Confirm the reservation.

This is one atomic action: confirming the reservation mints a pending booking, places a hold on the gear, and records the deposit all at once. Because the three pieces are created together, your booking records, your gear availability, and your money never drift out of sync - there's no way to end up with a booking that forgot to hold the gear, or a hold with no booking behind it.

Conflict detection

When you pick dates, KM Hub checks them against existing reservations for that unit. If the requested range overlaps a reservation that's already on the books, the conflict is caught before you confirm - so double-booking a unit isn't something you have to police manually.

Track everything in the reservation list

Every reservation lands in the reservation list on the Rentals page. Use it as your single view of what's out, what's coming back, and what's booked for upcoming dates.

Who drives this page

Rentals is staff-driven: you and your team create offerings, units, and reservations from inside KM Hub. It's the internal control panel for your rental operation, not a self-serve storefront for customers.
