Track your gear: equipment inventory, event assignments, and repairs

The Equipment page gives you a live inventory of every piece of gear you own: what it is, what it's worth, which event it's out on, and whether it's ready for the next job. Instead of a spreadsheet that goes stale, you get status chips that update as gear moves in and out, plus a running total of your inventory's value.

Where to find it

Open the Operations area and choose Equipment, or go directly to https://hub.kivimedia.co/?page=equipment.

If you don't see this page, it isn't enabled for your account yet - contact support to turn it on.

One more thing to check: Equipment is an agency tool. If your brand is switched to Solo Mode in Settings, agency tools like Equipment and Rentals are hidden. Switching back out of Solo Mode restores them - your data is untouched either way.

Add your gear

  1. On the Equipment page, click Add Equipment.
  2. Give the item a name your crew will recognize, for example "JBL EON715".
  3. Enter its value. This feeds the Total Value stat at the top of the page.
  4. Pick a category and save.

There are eight categories to choose from:

  • Speakers
  • Microphones
  • Lighting
  • Screens
  • Cables & Misc
  • Systems
  • Stand Alone
  • Other

Statuses and stats at a glance

Every item carries a status chip so you can scan the page and know what's ready to go:

  • Available - in the shop and free to assign.
  • In Use - currently assigned to an event.
  • Needs Repair - out of rotation until it's fixed.

At the top of the page, two stats keep the big picture in view: Total Items and Total Value. Handy for insurance conversations and for knowing exactly what your inventory is worth.

Assign gear to an event and return it after

  1. Find the item in the inventory and click Assign.
  2. Pick the event it's going out for. The item flips to In Use.
  3. When the gear comes back, click Return on the item. It goes back to Available and is free for the next assignment.

If you want assignments recorded with dates, switch on the date tracking toggle. With it on, gear movements are tracked against dates rather than just status flips.

Review an item's history

Click History on any item to see where it has been: the events it was assigned to and its trips out and back. This is the fastest way to answer "who had the wireless mics last month?" without asking around.

Handle repairs

When something breaks, click Edit on the item and set it to Needs Repair. The chip changes so nobody assigns broken gear to a gig by mistake. Once it's fixed, edit it back to Available.

Pack against a prep sheet

The equipment prep sheet pulls together the gear tied to an event, so your crew loads the van against one list instead of memory. Fewer "we forgot the cable case" moments on show day.
