There are two signature settings and they do different jobs. Both live in Settings under General. Getting the right one saves you setting the wrong signature and wondering why your emails still look bare.
1. The sign-off on outreach KM Hub sends
The card called Email sign-off & signature controls how the emails we send on your behalf close.
- Sign emails as: the name the email signs off with, for example your first name. Leave it blank to sign with your business name.
- Signature block (optional): the block added at the very bottom of each email. Type your name, phone and website here.
- Use the small toolbar to format it: Bold, Italic, Underline, Add link and Remove link. The formatting is kept in the emails you send.
- Press Save. You get a confirmation that the signature was saved and that new outreach emails will use it.
The counter under the box tracks visible characters up to 600. Past that the Save is blocked and the counter turns red asking you to shorten it.

2. The designed signature for your own mail app
The card called Email signature is a signature builder for the mail you send yourself from Gmail, Outlook or SMPL. It does not change the outreach we send.
- Pick a Look. There are eight to choose from: Crest, Gallery, Marquee, Note, Panel, Slab, Spine and Stripe.
- Fill in your details and watch the preview.
- Press Copy signature and paste it into your mail client, or use Install it in Gmail to have it put in for you.
Which one do I want?
- Prospects receiving campaigns, follow-ups and sequences from KM Hub see the first card.
- People you email by hand from your own inbox see the second one.
- Setting both is normal, and keeping the same details in each is what makes you look consistent.
If the fields are greyed out
Both cards are workspace-wide settings, so only an org admin can change them. If you can see the values but not edit them, the screen tells you an org admin is required. Ask whoever owns the workspace to make the change or to give you the admin role.
