Everything about one team member - their contact details, the events they have worked, what you pay them, their time off, and their tax paperwork - lives in a single record. Open it from the roster and you get nine tabs that cover the person's whole working life with you.
Open a member's record
- Go to your roster at hub.kivimedia.co/?page=employees (the label may say Team Members, DJs, or Talent depending on your terminology setting).
- Click the member you want. Their detail page opens.

The profile at the top
The header of the record shows the member's core profile fields: Email, Phone, Role, Hourly Rate, Status, and Rating. Next to those sit two quick stats: Total Events (how many they have worked for you) and Upcoming (what is on their calendar next). There are also copy buttons next to the contact info, so grabbing an email address or phone number for a text is one click, not a select-and-copy dance.
The nine tabs
Below the profile, the record is organized into nine tabs:
- Overview - the summary view of the member.
- Events - the events this person is assigned to.
- Pay History - what they have been paid over time.
- Wages - where you set what this person earns, including their hourly rate.
- Time Off - their time-off requests and history.
- Documents - files attached to this member.
- Other - additional details that don't fit the other tabs.
- Tax Info - the member's tax details, stored where payroll can find them.
- Reviews - feedback and ratings for this member.
Set what you pay them
Open the Wages tab to set the member's pay, and use the Hourly Rate field in their profile for their standard rate. Once wages are set, the Pay History tab becomes your running answer to "what have we actually paid this person?" - useful before a raise conversation or at tax time.
Track time off
The Time Off tab is where requests live. A time-off request is simple: pick the dates and give a reason (Vacation, personal, and so on). Keeping this inside the member's record means availability and scheduling always see the same truth - no separate spreadsheet to fall out of date.
Store tax info once
Use the Tax Info tab to keep the member's tax details with their record. When payout or year-end time comes around, the information is already where you need it instead of buried in an email thread.
Where this connects
