The Employee Portal gives your staff their own self-service home in KM Hub: their gigs, their money, and their availability, all in one place. Instead of texting you "am I working Saturday?" or "did my payment go through?", they log in and see it themselves - and confirm gigs, check in on event day, and submit timesheets without you lifting a finger.
The portal lives at hub.kivimedia.co/?page=employee-portal. If you don't see this page, it isn't enabled for your account yet - contact support to turn it on.
What your staff see
The portal is organized into tabs, each answering one question a team member actually has:
- My Events - the gigs they are assigned to.
- Confirmations - assignments waiting for a yes or no.
- Contracts - their agreements with you.
- Timesheets - hours submitted for events.
- My Earnings - what they have earned.
- Time Off - request and track days off.
- Availability - their weekly availability grid.
- Check In/Out - clock in and out on event day.
- Available Events - open gigs they can claim.
- Tax Info - their tax details.
- Get Paid - payout setup.
- Activity Log - a record of what happened on their account.
Confirm or decline a gig
When you assign someone to an event, it shows up in their Confirmations tab with Confirm and Decline buttons. One tap and you know where you stand - no chasing, no "did you see my message?".
Check in and out on event day
On the day of the gig, the member uses the Check In / Check Out button to clock their time. Combined with the Timesheets tab, where they submit their hours, you get an accurate record of who worked what without collecting paper or screenshots.
Set weekly availability
The Availability tab shows a weekly grid of cells. Tapping a cell cycles it through three states: available, then partial, then unavailable. Whatever your staff set here feeds the availability you see on your team roster, so booking decisions always start from what your people actually told you.
Claim open gigs
When you post an event as open, it appears in everyone's Available Events tab, and staff can claim it themselves. Great for filling last-minute dates: instead of calling down your list, you let the first available performer take it.
Money, without the back-and-forth
Three tabs keep pay questions out of your inbox: My Earnings shows what they have earned, Get Paid is where they set up how they receive payouts, and Tax Info holds their tax details so year-end paperwork isn't a scramble.
Requesting time off
Staff can request time off right from the portal's Time Off tab. The request lands in their member record on your side, so approvals and scheduling stay in sync.
Who gets portal access
Portal users are the team members you add in Team Management on the Employees page - members with the Talent role see their own events only, which is exactly what the portal is built around. See "Team roles and permissions" in this folder for how to add members and assign roles.
