Merge tags let you write something once and have it fill in per recipient - the client's name, the event date, the venue, the amount due - automatically. Instead of hand-editing every email and contract, you drop in a tag like a placeholder, and KM Hub swaps in the real value when the message or document is generated.
Browse every available tag
Head to Settings > Merge Tags for the full searchable reference. Tags are grouped by category so you can find what you need fast:
- Client - first name, last name, full name, email, phone, company, address
- Event - title, type, date, start and end time, duration, guest count, notes
- Venue - name, address, city, contact name and phone, notes
- Financial - invoice number, total, amount paid, amount due, due date, deposit, payment link
- Company - your business name, phone, email, website, logo, tagline
- Employee / Performer - performer name, email, phone, bio, photo
- Planning - client portal link, contract signing link, questionnaire link, today's date, days until the event
Each card shows the exact tag text and a sample value, so you always know what will appear.

Insert tags with the Merge Tag wizard
When you're writing an email, you don't have to memorize anything. From the Email Composer, open the Merge Tag wizard:
- Browse the tag category browser to find the field you want (client, event, or org fields).
- Click the tag's insert button - it drops the tag at your cursor position in the message.
- Check the preview, which shows the tag resolved with sample data so you can confirm the sentence reads naturally.
Where merge tags work
Follow-up sequences
In Sequences, steps set to "My exact email" accept merge tags in both the subject and the HTML body - for example {{first_name}}, {{event_date}}, and {{venue}}. Every enrolled lead gets a personally addressed email without you touching a keyboard.
Broadcasts
One-off email blasts support merge tags too, including in the subject line - a subject like "Quick question, {{company}}" fills in each recipient's company name and reliably outperforms a generic one.
Contract templates
Contract templates use {{merge_tag}} placeholders in the body. When you run Generate Contract for a booking, the generator shows a live merge-tag preview as the tags fill from the event, the client record, and their planning-form answers - so you can verify every field before the contract goes out for signature.
Tips
- Always send yourself a test (broadcasts have a built-in test send) to see tags resolved with real data before a big send.
- If a tag comes out blank, the underlying field is empty on the record - fill in the client or event field and regenerate.
- Copy tag text exactly, including the double curly braces - a typo inside the braces won't resolve.
