Using the Mail inbox: read, reply, star, archive, and attach files

The Mail page is a full email client built into KM Hub, so you can read and answer client email right next to their bookings, invoices, and contracts - no tab-switching to Gmail or Outlook. You'll find it under Clients > Mail in the sidebar.

Getting around: the folder sidebar

The left rail works like any mail app. Depending on your setup you'll see:

  • Inbox - incoming mail from your connected mailbox
  • Sent - everything you've sent from KM Hub
  • Starred - messages you've flagged to come back to
  • Scheduled - messages queued to go out later
  • IMAP - mail synced from your own mailbox
  • Archive - messages you're done with but want to keep
  • Trash - deleted messages
  • Deliverability - sending health for your address

If your Inbox looks empty, incoming mail appears once your mailbox is connected. Use the Connect email banner at the top of the app to link your own address - it takes a couple of minutes and also helps your follow-ups land in the inbox instead of spam.

Read and reply to a message

  1. Open Clients > Mail and pick a folder (Inbox is the default).
  2. Click a message in the list to open it in the reading pane.
  3. Use the actions on the open message: Reply to answer in place, Star to flag it, Archive to file it away, or Trash to delete it.
  4. Behind on a busy folder? Mark all read clears the unread state in one click.

Compose a new message with attachments

  1. Click Compose in the top right of the Mail page.
  2. Fill in To, a Subject, and write your message in the body.
  3. Click the paperclip icon to attach files - contracts, song lists, invoices, whatever the client needs.
  4. Send. The message shows up in your Sent folder.

Find any message fast

Use the Search mail box above the message list to filter the current view. For deep full-text search across everything you've ever synced (subject and body, inbound and outbound), use the dedicated Email Search page - there's a separate help article covering it.

Tips

  • Star messages that need action this week, then work through the Starred folder instead of re-scanning your whole Inbox.
  • Archive instead of deleting - the message stays searchable and out of your way.
  • Keep an eye on the Deliverability folder if clients report your emails going to spam.
