A lead emails you the details of their party, and instead of retyping everything into the New Event window, you paste the email into KM Hub and let the AI do the data entry. Quick Event from Email reads the message, pulls out the booking details, and creates a confirmed event in about 60 seconds - skipping the full event wizard entirely.
How it works
- Open the Quick Event from Email window from the Events page quick actions.
- Paste the email body into the paste area. If the sender attached a calendar invite instead, you can upload the .ics file.
- Click AI Parse. The AI reads the text and extracts the booking details it finds.
- Review the preview card showing everything the AI extracted. Every field is editable, so fix anything it got wrong or fill in anything the email didn't mention.
- Click Create Event. The booking is created and lands on your Events pipeline like any other event.
What the AI handles for you
- The client - KM Hub looks the client up in your records. If they already exist, the booking is attached to them; if not, a new client is created automatically.
- The venue - the venue name is fuzzy-matched against your venues, so "the Hilton downtown" can still find the right entry even if the wording isn't an exact match.
When to use it
Quick Event from Email shines whenever the details already exist in writing: an inquiry that came through your website contact form, a forwarded email thread from a client, or a calendar invite from a venue coordinator. Anything you'd otherwise retype by hand is a good candidate.
A quick habit worth keeping
Always glance over the preview card before clicking Create Event. The AI is good, but emails are messy - a client might mention two possible dates, or the venue in the email might be their backup choice. The preview card is your 5-second checkpoint, and since every field is editable right there, corrections take no extra clicks.
Once the event is created, open it from the Events page to add anything the email didn't cover, like deposit amounts, staff, or your package - the same fields you'd find on any booking.
