Track business expenses with receipts and export to CSV

Every expense you log in KM Hub makes tax season easier and your profit numbers truer. The Expenses page is a full expense tracker: record each purchase with its receipt, sort everything by category, and export the whole ledger to CSV whenever your accountant asks.

Add an expense

  1. Log in to KM Hub and open https://hub.kivimedia.co/?page=expenses.
  2. Start a new expense entry.
  3. Fill in the fields:
    • Date: when you made the purchase.
    • Description: what it was, in your own words, so future-you recognizes it.
    • Category: how you want to group it in your own reports.
    • Tax category: how it should be classified for tax purposes. This is the field your accountant cares about most.
    • Vendor: who you paid.
    • Amount: what it cost.
    • Receipt: attach the receipt so the proof lives with the record instead of in a shoebox.
  4. Save the expense. It appears immediately in your ledger.

The three views

  • All Expenses: the complete ledger, every expense you have logged. This is your source of truth.
  • By Category: the same expenses grouped by category, so you can see at a glance where the money goes. If one category looks surprisingly large, this is where you will notice.
  • Reports: summarized expense reporting, useful when you want the totals rather than the line items.

Export your ledger to CSV

When you need your expenses outside KM Hub, use the Export CSV button. It downloads your expense ledger as a CSV file that opens in Excel, Google Sheets, or any accounting tool. This is the quickest way to hand a clean expense record to your accountant at year end.

If you use QuickBooks Online, you can also send income and expense rows there directly through the QuickBooks integration, without going through a CSV.

Tips for a ledger you can trust

  • Log expenses as they happen. A five-minute habit beats a painful year-end reconstruction.
  • Keep categories consistent. Pick a category scheme and stick to it, so the By Category view stays meaningful.
  • Always set the tax category. It feeds your tax picture, and it is much easier to set now than to backfill in April.
  • Attach the receipt every time. If you are ever audited, the receipt attached to the expense is exactly what you want.

Your expenses also flow into the bigger financial picture: the P&L Statement and Tax Summary on the Income page draw on what you record here, so a well-kept expense ledger pays off across all of your reports.
