Set up your Business Brain so every AI sounds like you and quotes your prices

The Business Brain is the set of durable facts the KM Hub AI team always remembers about your business: your prices, your policies, and how you like to work. Fill it in and every AI-written email, quote suggestion, and chat answer reflects your real numbers and rules instead of generic guesses. There are two ways to build it: type facts in yourself, or let the AI Setup Interview do it for you.

What counts as a standing fact

A standing fact is any short, always-true statement about your business. Examples: "Standard deposit is 50%", "We do not do weddings", "Travel beyond 30 miles adds a fee". Once saved, the AI treats these as ground truth everywhere it writes or answers on your behalf.

Add facts by hand

1. Open the Business Brain page at hub.kivimedia.co/?page=coo-memory.
2. Type a fact into the add-a-fact input at the top, for example "Standard deposit is 50%".
3. Click Add. The fact appears in the list below and takes effect immediately.

To make the AI forget something, click the trash Forget this button next to that fact. It is removed on the spot, and the AI stops using it.

Run the AI Setup Interview

If you would rather talk than type, the AI Setup Interview is a short conversation that learns your business and saves the facts for you.

1. Go to hub.kivimedia.co/?page=onboarding-interview and click Start interview.
2. Answer a handful of questions in the chat box. Plain, honest answers work best - the AI is learning how you actually run things.
3. Review the result summary card at the end. It shows how many standing facts were saved, highlights the KM Hub features that fit your business, and suggests features you may want to hide.

The suggested-hidden features come with per-feature toggles, so you can apply or skip each suggestion individually. Hiding a feature only tidies your navigation - your data is untouched, and you can bring anything back later.

Teach it from chat too

You do not have to visit a settings page every time. In AI Chat, tell the Second-in-Command something like "Remember that our minimum booking is 2 hours" and it saves the statement as a standing fact in the Business Brain. Anything saved this way shows up in the same list, with the same Forget this control.

Keep it current

Whenever prices or policies change, update the Business Brain first. Deleting the outdated fact and adding the new one takes seconds, and it keeps every AI-drafted message quoting the right numbers.
