Venues, vendors, and other contacts: your supplier directory

Modified on Sat, 11 Jul at 9:32 AM

Clients are only half your address book. The Contacts page is the directory for everyone else you work with - the venues you perform at, the vendors you partner with, and any other contact worth keeping - organized into three tabs with search, one-click email, and AI-assisted creation.

Three tabs: Venues, Vendors, Other

Open Contacts from the sidebar and switch between the Venues, Vendors, and Other tabs. Each tab is its own searchable list, so a caterer never gets lost among ballrooms. Use the search box to find any contact fast.

Row actions: email, edit, delete

Every row in the directory carries its own actions:

  • Send Email: message the contact without leaving the page.
  • Edit: update their details.
  • Delete: remove the venue or vendor from your directory.

Adding a contact

Click Add Contact and fill in the basics: name, role, phone, email, and notes. That is all a simple "Other" contact needs.

Adding a venue: paste the website, let AI do the rest

The Create Venue modal is AI-first, just like creating a client:

  1. Paste the venue's website URL into the field at the top.
  2. Click AI Fill. The AI reads the site and populates the venue's fields for you, including capacity.
  3. Review the auto-filled details, adjust anything that needs it, and click Save.

Adding a vendor: category inference and the preferred toggle

The Create Vendor modal works the same way, with two vendor-specific extras:

  1. Paste the vendor's website URL and click AI Fill.
  2. The AI fills in the vendor's details and infers their category from the site (so a photographer's site lands them in the right bucket automatically).
  3. Flip the preferred-vendor toggle if this is one of your go-to partners.
  4. Review and Save.

Handy detail: both the venue and vendor creation modals can be opened mid-flow from the event wizards. If you are building an event and the venue is not in your directory yet, you can create it on the spot without abandoning the event.

Venue Detail: the venue's profile and its events

Click a venue row to open its detail page. From there you can:

  • Edit the venue's fields.
  • See the linked events list - every event you have held (or booked) at this venue, in one place. Great for spotting your best rooms and refreshing your memory on load-in quirks before a return visit.
  • Use Back to Contacts to return to the directory.

Vendor Detail: the vendor's profile and history

Clicking a vendor row opens their profile and history the same way. Edit their fields as things change, then head back to the directory when you are done.
